This position provides office administration & SHE (Safety, Health & Environment) support for and is involved in the daily management of the Livermore, CA office.  Also responsible for various administrative projects as assigned.  

Primary Responsibilities/Essential Functions 

  • Welcomes visitors, determines the reasoning for their visit and notifies the correct office personnel. 
  • Maintains visitor log.
  • Maintain employees enter/exit records and out of office records. 
  • Receives and distributes mail and deliveries.  
  • Responsible for packaging and shipping samples to customers’ requests. 
  • Create outgoing shipments with FedEx/ UPS and monitor tracking information and invoicing.
  • Coordination of on-site and off-site office events/ celebrations, reserving and preparing a space, ordering meals. 
  • First point of contact for office vendors.  
  • Coordinate with office vendors as needed. 
  • Supervise the maintenance of office equipment (water, coffee, snacks, air purifiers, dishwasher, and printer) 
  • Manages office supply and kitchenette inventory and organization of all supply rooms. 
  • Order office and kitchenette supplies as needed, while staying within budget. 
  • Provide support for local Executive Officers with various tasks as needed. 
  • Establish and oversee best practices for ordering of logo branded merchandise. 
  • Provide reporting and transactional support for various departments as needed. 
  • Aid with logging expense reports. 
  • Support LDC Accounting team with monthly budgetary expenses confirmations 
  • Schedule appointments and travel arrangements. 
  • Act as liaison between LDC Livermore site and LDC IT department. 
  • Act as SHE (Safety Health & Environment) Coordinator and practice LDC’s safety standards at all times. 
  • Support Regional SHE Team to ensure employees are following LDC’s SHE Policies. 
  • Assist Lab Coordinator in reviewing Health & Safety Management System Documents to ensure they are up to date. 
  • Aid in the creating of Job Hazard Assessments for jobs around the facility and lab. 
  • Support Pilot Plant and Lab teams as needed. 

Education/Professional Certifications/Licenses 

Required qualification: 

  • Bachelor Degree in Science, Food Science 

Preferred qualification: 

  • Previous exposure to science/biotech company as office coordinator, admin assistant, or safety coordinator is a plus. 

  • Previous science courses (high school, community college etc.) 

 
Experience 

Basic qualification:  

  • One to three years plus of administrative support experience. 

 

Knowledge/Skills/Abilities (including any physical demands) 

Basic qualifications: 

  • Excellent verbal and written communication skills. 

  • Proficiency with spreadsheet and word-processing software (e.g., Excel, Word, Powerpoint). 

  • Strong organization abilities. 

  • Excellent attendance. 

  • Ability to work with people at all levels of the organization  

  • Strong documentation skills. 

  • Strong analytical and problem-solving skills. 

  • Ability to prioritize multiple tasks to meet strict monthly deadlines. 

  • Proactively approaches job duties and potential problems. 

  • Detail oriented with strong organizational skills.
